STYLEman365 Overview

STYLEman365 represents the fifth generation of our well-regarded STYLEman application software for apparel and footwear businesses. STYLEman365 is available both as an on premise application (hosted on a server at your offices) or as a fully cloud-based solution. In either case it can be accessed from anywhere, naturally subject to appropriate security, a key requirement for today’s “work anywhere” culture.

STYLEman365 retains the business logic and database of the latest version of STYLEman, but changes the user interface to be fully browser-based, to allow cloud implementations. By retaining the business logic, the robustness and proven capability of STYLEman is retained, whilst simplifying the upgrade and training required.

STYLEman365 is a multi-lingual application, and supplied with translation tools for you to translate it into the target languages you need. This facility also allows you to adapt the system’s terminology to match your business, should that terminology vary from industry norms.

ERP - Enterprise Resource Planning

STYLEman365 ERP has been designed from the outset to cater for the production and distribution of items with a colour/size matrix. The system also allows the use of a second size dimension such as leg lengths, bra cups, or shoe widths if required. It’s a multi-level solution that allows for data to be entered at any level in the matrix so, for example, budget costings, costs or prices can be entered at any level of style, colour, fitting or size as appropriate.

If you’re a larger organisation with multiple trading companies, you’ll appreciate the Central Style Maintenance functions where you centrally control all aspects of a style except those that the individual marketing companies are allowed to modify (for example, descriptions, costs or prices).

STYLEman365 ERP supports a number of different pack options including: single colour/single size, single colour/multi-size, multicolour/multi-size, multi-style/colour pre-packs, merchandise packs and promotion sets.

PLM - Product Lifecycle Management

STYLEman365 PLM supports the entire product development process, either by establishing a complete seasonal product catalogue or by the development of products to meet customer or R&D demands. The purpose of a PLM system is to ensure on-time and on-budget product development, and increasingly these days to be able to audit both the process and the third parties used in the sourcing process. To this end, a major component of STYLEman365 PLM is the Critical Path module.

STYLEman365 PLM is designed for collaboration, both within the organisation and down the supply chain. As such, security has been designed in from the start in order to manage who can see and/or update key product attributes, as well as logging all changes to data for auditability purposes. STYLEman365 PLM allows access whether staff are in the office, working from home or out in the field, improving team efficiency and ensuring a consistent approach to product development.

B2B - Business to Business e-Commerce

STYLEman365 B2B acts as a virtual showroom for your trade customers, allowing them to become self-serving in placing orders, checking stock and account enquiries, getting access to copy invoices etc. It is also suitable for sales and customer service staff to create virtual sales catalogues for all or specific customers, and to act as the first port of call for customer service. It is accessible both on PCs and mobile devices.

B2S - Business to Supplier e-Commerce

STYLEman365 B2S is designed to allow suppliers to be self-serving in reviewing and updating their POs. This will remove the administrative burden and accuracy problems associated with voice and email communications. This means that the buying team can concentrate on managing the supply chain rather than acting as admin clerks. Suppliers can review purchase orders intended for them, update ex-factory or landed costs, confirm schedule dates for the events that they own and confirm the order. During the life of the PO they can update critical events such as “Cut”, update quantities and packing information, and confirm despatch. These functions are designed to reduce the volume of queries going backwards and forwards, and the associated transcription errors that might occur. It also allows the company to have a more up-to-date view of the supply chain.

STYLEman365 WMS extends the functionality of STYLEman365 ERP by providing highly-efficient paperless warehouse management. This includes Pick Face and Bulk stock management, warehouse zoning, single-pass pick and pack, and parallel picking for small e-commerce orders.

STYLEman365 WMS can manage both bulk stock and lot/batch level stock, where satisfying an order from the same batch (for example dye lot) is paramount.

STYLEman365 WMS has an office component, designed to run on PCs or Tablets, and a scanner component designed for mobile devices. These can be either dedicated ruggedized devices, or effectively mobile phones with a built in barcode scanner, most types of mobile device capable of running a browser are likely to be suitable.

The STYLEman365 ERP database builds a hugely valuable repository of trading information, and has analytics to produce key performance indicators for the business within the application itself; indeed, they can be docked to the application navigation so that they are always visible in summary form, and can be drilled into as required.

When further analysis is required, STYLEman365 ERP can export on-screen data to Excel with a single click, or more complex extracts created with the STYLEman365 API Open Access facility. Once in Excel, data can be pivoted, graphed, sliced and diced to reveal trends that may not be obvious from the raw data.

While STYLEman365 typically manages the majority of a company’s commercial transactions, there are some instances where the application needs to interact with external resources. In order to cater for these, STYLEman365 has two types of Application Program Interfaces (APIs).

One of our application consultants will be appointed as Project Manager for each implementation, and generally our customers will have met the individual during their decision process.

The Project Manager is responsible for implementing the system, and will involve other OSL resources as needed, including technical and networking services, training, and development. They will also be responsible for liaison with your key staff and any third parties involved, for example, equipment suppliers, web designers or ISPs.

The Project Manager will also create the Implementation Plan and use it to drive implementation of the system on-time and on-budget. All Project Managers report directly to the Operations Director.

Implementation Services

For each project, a personalised Implementation Plans is created that reflects the customer’s business priorities and demands, and the tasks needed to take the application live.

This ensures that all parties understand the effort needed and the timetable. The Implementation Plan is generally phased in-line with a company’s business cycle (often season), which spreads the workload and eases transition from your current systems.

When the software is installed, two separate environments will be created: a test/training environment and a live environment. This allows users to be trained on the software without worrying about making mistakes. Periodically during implementation, the live environment may be copied to the test area in order to refresh the data in it.

The test environment may also be used for testing software developments, and changes to business practices may be evaluated without affecting the live data.

In general, an executive overview training session will be given to key users within an organisation at the start of the implementation process, in order that they can make sensible commercial decisions as to how the software should be configured. Usage training is delivered on a just-in-time basis in line with the implementation plan.

Unless specifically requested, we operate on a “train the trainer” basis, whereby the training is focused on key users within the business, whose role is then to pass the knowledge on to their teams.

Often, these key users will be responsible for documenting the business process within a company, which makes the task of training new recruits easier.

In general, training is delivered on a just-in-time basis, so that the knowledge is fresh and relevant to those being trained. Training is generally delivered on-site and is tailored specifically to each customer.

Where a business requirement cannot be met using options within our existing software, or where integration may be required to existing systems, software development may be required.

In general, an application consultant will create a specification of the required changes, expressed in business process terms, together with an estimate of the effort required to make the change. This estimate will cover the time required to investigate the change and create the specification, for the developer to change the program, for testing, delivery and administration.

Our customers will review the specification to see that it meets their needs, and the document may be revised if necessary or approved.
The development team have existing planned workloads and the specification will be added to their schedule. Different developers have competence in different applications, so we always try to ensure that a developer with relevant experience of the application area undertakes the task.

Depending on the nature of the change, its complexity and whether it affects core code or not, the task may be passed to the QA team or back to the application consultant for testing. Finally, it is delivered into our customer’s test environment for final acceptance before going live.
Support & Help Desk Services

Support & Help Desk Services

Once a new project has gone live, it is formally handed over to the Help Desk for routine query and problem management, with the application consultant responsible for escalating issues and providing additional support where specific business knowledge is needed, or advice on business process changes.

With your consent the Help Desk has access to your system, and even individual user’s desktops, so that issues can be reviewed and resolved as quickly as possible.

The Help Desk uses an online incident tracking system, which our customers can access remotely to raise and track calls, and which is used to escalate issues where needed.

Deployment Services

At Option Systems, we don’t mind where you choose to host your application; they can be installed on a server in your offices, hosted by your ISP or a specialist hosting organisation such as Rackspace, or even hosted by a cloud service such as Amazon.

All our applications are available to purchase for a one-off licence fee and annual maintenance, or to rent on a Software as a Service (SaaS) basis, which is the software industry’s umbrella term for a variety of different business models for charging for use of software.

SaaS provides for a number of different models: application rental, or charging based on some other business metric such as number of styles, customers, orders or similar. These methods can be particularly useful in controlling costs for start-up organisations, and also where there are unusual spikes in the business, for example in schoolwear.

We are extremely flexible in our approach to business, and will do our best to tailor a business model just for you.
