Companies not aware of the legality of scanned documents

Most companies dont realise that scanned documents are still classed as usable. Many companies are unecessarily keeping hold of stored documents for no valid reason.

It seems many office staff are still under the impression that all hard copy documents must be kept for legal reasons.
Many offices are now in the process of digitising files but staff still believe that the originals must be kept. Some offices even decide not to take up the scanning option for this reason!

This is not the case and according to updated data laws the scanned copies of documents are just as usable as the original hard copies.

There are still some very sensitive documents which require the originals, but for 90% of general office files it is much easier to retrieve and store files on the local network rather than in cabinets.

• Textbooks, training manuals and published books

• Surveys, questionnaires and application forms
