Everything you need to know about Data Capture

Data Capture is the way forward when it comes to collating information gathered from market research such as surveys.
It allows you to not have to look through potentially hundreds or thousands of documents in order to collect the data that you need together and makes the task tremendously easier.Here at Pearl Scan we’ve been doing it for years for our clients, so we like to think we have a very thorough knowledge of how it works, having worked with some of the best software in the business for some of our more famous clients, and the advances that have occurred over the years are quite incredible.
It’s still not possible to perfectly and automatically scan and capture handwritten text due to everyone’s handwriting being different from another’s. Even if the person has written perfectly in block text it would still not be able to be captured perfectly.
Data capture software is made to gather together fonts of a certain look and shape. Not specific fonts, but shapes of fonts such as the look and feel of the likes of the simplistic Arial or the slightly more complicated Time New Roman and can take that information and convert it into digital data.
So we’ve established that it’s pretty much impossible to capture handwritten data, so what can be captured in the process?
- Check boxes
Check or tick boxes are fairly simple to capture using our top of the line software. Remember when you’ve filled in forms in the past and they’ve said to make sure your crosses don’t go too far outside the box? Well this is why. Technology is a lot better than when this used to be common, but it’s still best to be sure.
- Multiple-choice questions
Multiple choice questions are also not much of a challenge for the software.
The reason for this is that before we start scanning and collating your information, an initial form will be taken, scanned and the software will be ‘taught’ where it needs to check for answers, check boxes etc. so that it can give an accurate result. Once this template is in place, it’s just a matter of scanning the documents and letting the software find the appropriate information.
Handwritten results can be collected manually by a member of staff who will physically input them so that you can access all the information required. This will obviously increase the price of the process but it’s worth it since, the majority of the time, people’s opinions are what can make or break the way a company works.
